How site subscriptions are enabled, created, tracked, and managed

You can gather subscribers by enabling a subscription form on your website (this is enabled by default). These subscribers are automatically added to your site subscriber list, and can be reviewed and added to your CRM as contacts.

Subscribers are not automatically notified when you publish new content.

Think of a Prezly subscriber as someone who has asked to be added to your CRM by using the form in your site footer. If you decide to add this person to your CRM, you can do so through your subscribers page inside Prezly. More on how to do this below.

For accounts created after 7 February 2024. Contact auto-creation for new subscribers is disabled by default. This means that any new subscribers will not be added automatically to your contact list. You can enable contact auto-creation in your subscription settings.​​ ​

New site subscribers

How people can subscribe to your site (subscription form)

In your site footer, by default, visitors see an email subscription form that allows them to submit their email and start receiving your communications. You can choose to show or hide the subscription form on your site in your site settings. More about this below.

Subscription form in a Prezly site

When a visitor enters their email into your subscription form and hits Subscribe, we automatically send them an email to ask for confirmation. This step (double opt-in) confirms their consent to receiving content from your company and ensures that their email address works.

The new subscriber will only be added to your subscriber list after they have confirmed their subscription.

Find subscribers in your contact list

To find contacts who subscribed to one of your sites, go to your Contacts and use the filter options:

  • Subscribed to show all subscribes
  • Subscribed to to show subscribers for a specific site

New subscriber notifications

You can choose to receive an email notification every time you get a new site subscriber. To do so, you need to enable this option in Settings > Organization > Email notifications.

This option is disabled by default because in some cases it can lead to receiving a large amount of emails.

Share your subscription form outside of Prezly

Share your Prezly subscription form to sites outside Prezly by placing a link to your Privacy portal. Visitors subscribed through this form will also be added to your subscriber list.

Manage your site subscribers

View site subscribers

Subscribers and contacts are two different things:

  • A contact is someone you have added to your CRM
  • A subscriber is someone who has asked to be added to your CRM by using the form in your site footer

You can choose to have new site subscribers appear in your CRM as contacts automatically in your Subscription settings.

To manually review your site subscribers and convert them into contacts, go to your site Subscribers page:

  1. If you have one site, click Home in the side navigation, or if you have multiple sites, click Sites and then select the site you want to check the subscribers for
  2. Select the Site settings tab
  3. Click on the Subscribers link

Turn subscribers into contacts

Subscribers can be turned into contacts and added to your CRM. To do that, click on Create contact at the right-hand side of the row for the subscriber you wish to turn into a contact in your CRM.

This will create a new contact in your CRM, which you can later edit with more information.

Click on Create contact in your subscribers list to create that subscriber as a contact in your CRM.

If one or more contacts in your CRM already match the subscriber address, you will see the option to View contact/s displayed here instead.

You can also choose to have new site subscribers appear in your CRM as contacts automatically in your Subscription settings.

Subscription settings

You can set up your subscription preferences on your Subscribers page by clicking the Settings button above the subscribers table.

This will open a panel where you can find the following options:

  • Automatically add new subscribers to contacts: Enabling this option will automatically create a contact in your CRM for any new subscribers. This setting will not affect existing subscribers
  • Show subscription form: Toggling this option on/off will allow you to show or hide the subscription form on your site
  • Advanced subscription settings: Takes you to your privacy settings, where you can define the message shown when somebody subscribes to your site

Unsubscribes

To comply with anti-spam laws and as a best practice, email campaigns sent through Prezly have a small unsubscribe link at the bottom of the email.

If a recipient chooses to unsubscribe by clicking on this link, they will be unsubscribed from the site they received the email from. ​

If you have multiple sites, your contacts will be unsubscribed only from the site that the email campaign is linked to. This means that they will continue to receive emails from your other sites if they haven't opted to unsubscribe from them.

Unsubscribed contacts can still be added to new emails featuring a story linked to the site from which they unsubscribed, but Prezly's sending system will prevent them from receiving the email.

If you have it enabled in your email notification settings, you will receive an email whenever someone subscribed or unsubscribes to your site. These settings are on the user level.

How unsubscribes work for contacts with multiple emails

When a contact unsubscribes from your email campaign, only the email address of the inbox from which they unsubscribe counts as unsubscribed.

Example: I have a contact named Klarissa and she has 3 email addresses linked to her contact profile in Prezly:

- lusklarissa@mail.com
- klarissa.d@mail.com
- klarissa_d@mail.com

Klarissa received an email to klarissa@mail.com and opted to unsubscribe from any future email campaigns. ​

The result is that only one of her email addresses (klarissa@mail.com) is unsubscribed.

Accidental unsubscribes

To resubscribe a contact who has unsubscribed from a site's communications, simply ask that person to enter their email into the email sign-up form in your site footer.

I don't have a form in my site footer and can't find the settings to activate it?

If you've previously requested to deactivate your form, you may not have an email subscription form in your site footer. Speak with us via our chat or email support@prezly.com and we'll be happy to help :)

I have multiple sites. How do I know from which site a contact has unsubscribed?

You can see the site (or sites) from which each contact in your CRM has unsubscribed by hovering over the red icon next to their name.

My contact has multiple emails. How can I tell which email is unsubscribed?

This is where things get a little tricky, but not to worry – give us a shout and we'll be able to find out which email address is unsubscribed in our database. Just email support@prezly.com and we'll be happy to help.
