Save time with Views
Views (previously known as segments) lets you save filters for easy reuse. Views are saved at the team level, so anyone in your Prezly team can use them.
Using Contacts as an example you can use create and save a media list as a view.

To create a view
Create a view by clicking the + button next to your existing views, or by adding filters to an existing view and saving this as a new view. You can use any number of filters to create a view. Views are saved in the more dropdown after the default views.
Editing a view
Edit a view's filters by:
- Changing its filters and pressing save, or
- Clicking the '...' three dots next to its name in the view's dropdown and clicking edit

Where to find your views
Views are always shown at the top of the grid listing, in the row above filters. If you have multiple views saved, use the more dropdown at the end of the row to access these.

Searching within a view
If you want to see whether a particular contact is saved to a view, select the view you want and use the Search in view box at the top of the results grid. You can also use filters to narrow down results within a view.

Default views
All views have a set of default views. For contacts, there are three default contact views:
All - People - Organizations
These views will always show first in the views row, and are separated from the rest of the views by a vertical line.
Favorites: star pages for easy access
If you use a particular contact view frequently – for example, if it is your go-to media list – you can click the star next to the view name at the top of the screen to favorite it. This adds the view to your Prezly sidebar for easy access. Starred favorites are saved just for you, and are not shared across team members.

Three ways to search
Find any content in Prezly quickly in three ways: global search, grid filtering, and saved views.
All content is shown in tabular grids by default, with options to filter down, search, save records as favorites and create reusable shareable views of your data.
Across Sites, Contacts, Stories, Campaigns, Pitches, and Coverage we have a range of filters that help you find content quickly.
When to use each search method
- Finding one specific contact → Use global search (Cmd/Ctrl + K ) to find records fast
- Checking if someone's in a list → Search within a view (Cmd/Ctrl + F)
- Building a media list → Use filters with multiple criteria + save as a reusable view
With filters you can easily perform a search like "Show me all campaigns published with iPhone in the campaign title, sent in the last 6 months with an open rate greater than 10%."
How to use filters
Let's take a look at the filters on the Contacts page as an example.
Each grid has their own selection of filters, which can be applied to filter down results. Simply click on + Filter. Most used filters are shown first, and you can type to narrow them down.

Filters once added can have one or more values chosen, and you have the ability to choose how a filter matches with an operator. E.g. Tag (the filter) + contains (the operator) + eco-packaging (the value).

Once a filter has been chosen, you can change both the operator and value by clicking on them.
Adding more filters narrows your results (AND logic). Each contact must match ALL filters. For OR logic, select multiple values within one filter using "is one of."
Types of filters and operators
There are different types of filters, each with different matching operators.
Text filters
You can filter text fields with the following matching operators:
- "is" - an exact match - so only Name is "Al" would match people called "Al".
- "is not" - an exact negative match.
- "contains" - an exact partial match - useful if you want a Partial name match, so Name contains "Al" would match both Al, Alan, Alvin and Crystal.
- "does not contain" - the negative of the above contains.

Tag filters
You can filter tags with the following operators:
- "is" - an exact match of one or more tags
- "is not" - finds records that don't have certain tags

Multi-selecting tags - special one of/all of/none of options
You get special operators when you select multiple tags. Operators change to:
- "is one of" - is one of "bridal beauty" or "celebrity beauty"
- "is all of" - has both "bridal beauty" and "celebrity beauty"
- "is none of" - is neither of "bridal beauty" or "celebrity beauty"

Date Filters
Date filters have both an operator ("is" and "is not") and a host of predefined values as well as a "Custom dates" option where you can specify your own range.
You can filter dates with the following operators:
- "Today / Yesterday"
- "This week / Last week"
- "This month / Last month"
- "This year= / Last year"
- or a Custom date range.

Number filters
Number fields are either numbers of percentages.
You can filter numbers with the following operators:
- "is"
- "is greater than"
- "is greater or equal than"
- "is less than"
- "is less or equal than"

Boolean Filters
These can be true or false.

FAQs
Who can access my contact views?
Anyone on your team who has permission to view and manage contacts is able to see and edit your contact views.
Will my contact views be updated when I import new contacts?
Yes – any new contacts that match your view filters will be added to that view automatically.
For example: if you had a tag "journalists" that was included in a view, and you imported 20 new contacts and tagged them with the "journalists" tag, they would appear in that view automatically.
Can I change what fields are shown on my contact view?
Yes, you can choose what fields show in your contact view in view settings. These preferences are automatically saved for your user account. If you want to make these field preferences the default for everyone on your team, you can do so by clicking "Set default for everyone" at the bottom of the settings box.

Use the global search bar in the side navigation
For an even quicker search, if you already know exactly what you're looking for as soon as you log in, you can also use the global search in the header or press the "/" key to find Contacts, Stories, Campaigns, or Coverage faster.

Permissions and search
For our Premium and Enterprise users, your team members are only shown the search results their permissions allow them to see. This includes only seeing the site stories, and Campaigns from the sites they have access to.
After applying custom filters to your Contacts, Stories or Campaigns, you can easily share the filtered lists with your teammates by copying the link of the page and sharing it with them. When they visit the link, they should see the same search results, as long as they have appropriate permissions in the team.
