Add edit and manage contact lists in our built-in CRM
You can import your contacts in bulk and also add Tags or create views to keep track of your growing contact list.
Our contact management tool also shows you when we've found more information about your contact, as well as when there are errors with your contacts, such as a bounced email or unsubscribes, and also duplicates.

Viewing contact details
Click on a contact and you see the contact details aside. This gives you a full overview of a contact's most important information and allows you to add/remove tags, add notes, and make other edits.
From the contact preview box, you can:
- Edit contact details
- Create and send a pitch to the contact
- Convert a person to an organization type, and vice versa
- Link the contact to a piece of logged coverage
- Edit person and organization relationships
- Export the contact's information – this feature helps conform to GDPR requests from your clients
- Add or remove tags
- Merge contact duplicates
See the emails (campaigns/pitches) sent to the contact and how they interacted with them.

See your activity and history of updates made to the contact, site and stories activity, unsubscribes, and more:

Contact types - People vs Organization
Contact records in Prezly can be categorized as either people ("person") or organizations.
Organization contacts can have many individual contacts associated with it, which is a nice way of grouping, and lets you view and filter contacts more easily.
Creating individual Contacts
Sometimes you just want to add a single contact instead of doing a bulk import.
To create an individual contact in Prezly, you just need to:
1. Click on "Create contact" - you can find this green button in your Contacts page

2. Fill out the contact info - First, choose the type of contact you want to create. Prezly lets you add either a “Person” or an “Organization.” Once you’ve picked the right type, just fill in their basic details and proceed with any additional information...

If you’re adding a “Person” contact, it’s a good idea to link them to the organization they belong to. This keeps things tidy, and lets you connect multiple people to a single organization.
3. Save the contact - Once you have completed the contact profile, click on Save Contact or 'Save and create another' if you want to add an additional individual contact.

If you don’t have any contacts yet, you’ll also see an option to create individual contacts during Campaign Step 2.
Editing contacts
You can either edit contacts directly from the grid, or from the contact detail view.
To edit a contact from the grid, just click the […] button on the grid and then select ‘Edit.’ This will open the editing panel, where you can update or add any details you need.

You can also access the edit panel by clicking on the "Edit" button on your contact overview.

Select "Contacts" in the left-hand menu to go to your Contacts page. From there, simply click on the contact you wish to edit.
The Contact Preview page will open on the right-hand side of the screen where you will see the option to edit the contact's details.
After you finish editing your contact data, make sure you click on "Save Contact" so you don't lose any of your edits or updates.
Adding notes
On the contact's preview, go to the Notes tab to create and save a note.

Mention a teammate in a note
If you want a teammate to be notified that you have added a note about a contact, you can tag that teammate by keying in the "@" key then selecting their name.
Once you click on "Add note" your teammate will receive an email notification letting them know that you have mentioned them.
Pinning a note on the contact profile page
On the note, access more actions by clicking on the option button ("•••") and then select Pin this note. This means that the note will be visible at the top of the contact preview.

Enriching contacts
On organization contacts, you can specify a field called Domain identifier. A domain identifier is usually a main company website - for example, for CNN, the domain identifier is cnn.com (it should not be a link to an organization's social accounts).
The domain identifier can be set in the Create contact form...
… or when importing contacts (read more about contact imports and download our spreadsheet template for an easier import).
When possible, Prezly will automatically fill in the domain identifier for your organization contacts by using the data you've already entered, such as the organization website, email address and linked contacts.
Organization contacts without an identified domain will display a yellow chip with the text Enrich contact… in the header. On contacts where the domain is defined, the domain address will be visible in a green chip.
Prezly uses the domain identifier to speed up contact management, by:
- Enriching organization contacts with additional information
- Suggesting person contacts to link to organizations
- Displaying outlet stats
- Suggesting related organizations
Contacts that have been enriched can be recognized with a blue avatar badge in the contact list:

When the domain identifier is specified on an organization contact, Prezly will automatically enrich this contact with more information, such as address, contact details and social accounts.

This enrichment can happen during contact creation or editing, or after a contact import. Enriched data is highlighted with a light purple background and a sparkle icon on contact profiles:
Suggesting contacts to link
Prezly uses the domain identifier to make suggestions of person contacts to link to organization contacts. For example, if an organization's domain identifier matches a person contact's email address, Prezly will suggest this contact as a potential match.
These suggestions are made when creating person contacts from the Create contact button. You will also get these suggestions under the People or Organizations tab:

In your contact list, you can use the Discovered relations filter to see all contacts where Prezly has made person-organization link suggestions. These contacts can also be recognized by a purple avatar badge:

Displaying outlet stats
On organization contacts where the domain identifier is defined, you will find some statistics under the Profile tab:

These statistics come from Open PageRank and Similarweb, and reflect the ranking of the organization's main website (the domain).
- Open PageRank rates the importance of the website by counting the number and quality of links pointing to the website. Based on this, the website receives a score between 0 (least important) and 10 (most important).
- Global rank is the website's ranking based on the highest sum of monthly unique visitors and page views globally. The lower number, the better ranking.
- Country rank is the website's ranking in the country that sends the most traffic to the site (not necessarily the country where the organization is based).
- Visitors monthly is the sum of all visits to the website during a month. In Prezly, this number is rounded off, where K = thousand, M = million and B = billion.
This information can be helpful to understand the reach and impact of your organization contacts. For example, when you log coverage in Prezly and link it to a certain outlet, these stats could indicate how impactful this mention was, compared to coverage from other outlets.
Suggesting related organizations
On organization contacts with domain identifier specified, the Related tab will list organizations that are similar to the one you're viewing.
For example, on my organization contact CNN, the Related tab might list other big U.S. newspapers, such as The New York Times and The Washington Post.
